Handbag Care & Maintenance Guide for Wholesale Buyers
Published: August 22, 2026 | 10 min read
Customer returns are the silent profit killer in handbag retail. A bag comes back because "the leather started peeling" or "the color faded" — but the real cause is usually improper care that the customer didn't know about. This guide shows you how to reduce returns by 20-30% with care cards, proper listing descriptions, and smart packaging choices.
Why Care Cards Are Your Secret Weapon
A care card is a small insert (3x5 inch or business-card size) included with each bag that tells the customer how to maintain it. It costs $0.05-0.15 per bag but can save $2-5 in return costs.
| Metric | Without Care Card | With Care Card |
|---|---|---|
| Return rate | 8-12% | 5-8% |
| Return reason: "quality issue" | 40% of returns | 15% of returns |
| Cost per 100 bags | $0 (no cards) | $5-15 (cards) |
| Return savings per 100 bags | $0 | $90-180 (3-4 fewer returns at $30 avg) |
What to Put on Your Care Card

PU Leather Care (The Most Common Material)
Most bags sourced from China use PU (polyurethane) leather. It's affordable, looks great, and is animal-free. But it requires specific care to prevent cracking and peeling:
Do:
- Wipe with a soft dry cloth after each use to remove dust and body oils
- For deeper cleaning, use a damp cloth with water only
- Store stuffed with acid-free tissue paper to maintain shape
- Keep in the provided dust bag when not in use
- Condition every 2-3 months with a PU-specific conditioner or unscented lotion
- Store in a cool, dry place away from direct sunlight
Don't:
- Never use alcohol, acetone, or chemical cleaners — they strip the PU finish
- Never use a hair dryer, radiator, or heat source to dry
- Never leave in a hot car (dashboard temperatures reach 70°C+)
- Never machine wash or submerge in water
- Never fold or crush during storage — this creates permanent creases
- Never hang by the strap — this stretches and distorts the bag
Genuine Leather Care (For Premium Bags)
For bags made with genuine leather, the care regime is slightly different:
- Use a leather conditioner every 3-6 months (not PU conditioner)
- Water spots should be blotted immediately — don't rub
- Leather breathes — don't store in airtight plastic. Use the cloth dust bag.
- Color may darken slightly over time — this is normal patina, not a defect
- For scratches, rub gently with a clean finger — the natural oils help blend them
Read our PU vs genuine leather guide to understand which material you're working with.
Hardware Care
Zippers, clasps, chains, and D-rings are the #1 point of failure. Simple care extends their life:
- Wipe hardware with a dry cloth after each use to remove skin oils
- Store bags with hardware facing inward to prevent scratching
- For zippers: if they stick, rub a graphite pencil tip along the teeth (not oil — oil stains the leather)
- For chains: store flat, not hanging, to prevent stretching
- For magnetic clasps: wipe the magnet surface to prevent dust buildup that weakens the magnetic grip
Choosing the right hardware from the start matters too — read our hardware types guide.
How to Reduce Returns Beyond Care Cards
Care cards prevent "quality issue" returns. But other return reasons need different solutions:
Return Reason: "Not as described"
- Include exact dimensions in cm AND inches in your listing
- Show the bag on a model or next to a common object (phone, book) for scale
- State material type clearly: "PU leather" not just "leather-look"
- Photograph in natural light — flash photos misrepresent color
Return Reason: "Too small / too large"
- Add a "what fits inside" photo showing phone, wallet, keys, makeup pouch
- Include capacity: "Fits: phone, wallet, keys, sunglasses, small cosmetics"
- Compare to a well-known bag: "Similar size to a Coach Crossbody"
Return Reason: "Changed my mind"
- Set a 14-day return window instead of 30 (shorter windows reduce impulse returns)
- Charge a restocking fee for "changed mind" returns (10-15% is standard)
- Require return authorization — don't accept returns without prior contact
Return Reason: "Wrong color"
- Photograph in both natural light and indoor light
- Use color names from the Pantone system: "Blush Rose" not just "pink"
- Add a disclaimer: "Color may vary slightly due to monitor settings"
Packaging That Prevents Damage (and Returns)
Damage during shipping is a major return cause. Good packaging prevents it:
- Dust bag: Protects the bag surface from box friction ($0.20-0.50 each)
- Tissue wrapping: Prevents hardware from scratching the bag surface
- Box stuffing: Stuff the bag with tissue to maintain shape during shipping
- Box quality: Use double-wall corrugated boxes for shipping (not presentation boxes)
- Hardware protection: Wrap chains and clasps in tissue to prevent imprint on the leather
At Jinman, we offer three packaging tiers — from basic poly bag to full retail packaging with dust bag, hangtag, and care card.
