Sampling is where bag projects are won or lost. It's also the stage where buyers get the least visibility — most factories just say "one week" and go quiet. Here's the complete inside view of how a bag sample gets made, what slows it down, and how to get through sampling in one or two rounds instead of five.

What Happens Inside the Factory: The 7 Days of a Logo Sample
- Day 0–1 — Review & material pull. The sampling room checks your requirements against stock: correct body material, lining, hardware finish, zipper. If anything must be ordered from a supplier, the clock gets +2–4 days right here. This is the #1 hidden delay.
- Day 1–2 — Logo preparation. Your logo file is prepared for the chosen method: die for embossing, screen for printing, or artwork for a woven label. Vector files (AI/EPS/PDF) make this instant; a low-res JPG adds a redraw round — see logo file requirements.
- Day 2–5 — Cutting & assembly. Panels are cut by hand, edges painted or folded, hardware set, logo applied, bag stitched by the sample line's best sewer — sampling is handcraft, not line production.
- Day 5–6 — Internal QC. The sample master checks stitching tension, logo alignment, hardware function. Anything off gets redone — quietly, before you ever see it.
- Day 6–7 — Photos/video + ship. You receive detailed photos or video for approval before the physical sample ships, so color/corrections can start immediately.
Why Samples From Some Factories Take 3+ Weeks
- Outsourced everything — trading companies don't make anything; every step queues at a different workshop.
- Special materials — non-stock leather, custom-molded hardware, or Pantone-dyed fabric each add supplier lead time.
- You're behind production — big factories prioritize 5,000-piece orders over your sample.
- Vague specs — every unanswered question ("which zipper pull?") stops work for a day.
Countermeasure: choose a factory with a dedicated sample line and stock materials, and answer spec questions in batches, not one per day.
The Tech Pack: Your 2-Round Guarantee
A tech pack doesn't need to be beautiful. It needs five things:
- Dimensions — finished L×W×H, strap drop, pocket sizes
- Materials — body, lining, strap, reinforcement (or "factory's standard equivalent")
- Colors — Pantone codes or physical reference photos
- Hardware — finish (gold/silver/gunmetal) and key components
- Logo — placement, size in mm, method
Buyers who send complete tech packs typically finish sampling in 1–2 rounds. Buyers who send inspiration photos and "make it like this but better" average 4–6 rounds. Same factory, same skills, three times the calendar.
Sample Costs: What's Fair
Fair pricing: $30–80 logo sample, $80–150 modified design, $150–300 custom prototype. Two green flags: the factory credits sample fees against your production order, and they send photo/video approval before shipping. Two red flags: "sample is free but you pay $90 shipping" (the fee lives in the shipping line), and refusal to make samples at all.

After Approval: The PP Sample Locks Production
Before mass production starts, the factory makes a pre-production sample using the exact production materials and methods. You approve it in writing; it becomes the binding reference for the final QC.
